Overview
File Access control is a way for Project Admins to designate which folders certain users will have access to.
The logic for file access control in Fieldwire is based on Project permissions; if a user doesn't have access to a particular files folder, the folder and the files it contains are hidden from various views (files tab, file hyperlinks, files linked within a task).
You can use this feature to protect sensitive contractual information, and prevent external stakeholders from viewing it. This feature is available to users subscribed to the Business and Business Plus Plans.
How to control File Access
On the Files tab, Project Admins can select the three dots to the right of the pertinent folder, then select "Change Access". This will bring up a pop-up menu where the project Admin can select the folder access level.
By default, folders will be accessible to 'All users'. Project Admins can select the relevant access level for the folder by selecting it from the drop-down menu and clicking "Save".
Once a Project Admin selects the pertinent access level for the folder, the folder icon will change to indicate that the Folder is restricted. Any users lacking the appropriate permissions won’t be able to view the folder and the files within it.
Those individuals will also be unable to access restricted files if those are referenced on plans (file hyperlinks) or forms.
Note: In Fieldwire you can also upload password protected Files.
Once the file is uploaded, the message below will pop up when you try to open it:
Customize Permissions for File Folder Access
You can also customize the permissions for Members and Followers with regards to accessing file folders.
Note: This feature is currently only available on Business and Business Plus subscriptions.
To do so:
- Go to the People tab
- Click Manage permissions
- Click Edit permissions
- Navigate to the Files table
- Click Manage folder access, which will then display all of the file folders currently on the project
- Click the checkbox underneath Member and/or Follower for the file folders that you want to customize access
- If you check the checkbox under Member, you need to also select the checkbox under Follower. However, if you select the checkbox for Follower first, then you'll see that the checkbox under Member is automatically selected as well.
- Click Save
If you are a Member or Follower on a project where an Admin has removed your permission to access certain file folders tasks, those folders will simply not appear in your project, but you will still be able to see other folders or individual files that are not placed in any folder.
