Overview
Fieldwire Plan Sync allows you to automatically import plans from one Fieldwire project into another. This integration is built primarily for subcontractors who work with General Contractors and need continuous access to approved plans from a GC’s Fieldwire project while maintaining ownership and control of their own project data. Plan Sync is a one‑way automation that removes double uploads, reduces manual work, and keeps projects aligned as plans change.
IMPORTANT: For the purposes of clarity in this article, we will be using the terms "Sender" and "Receiver". "Sender" indicates the originating project that is sending the plans. "Receiver" indicates the project where the plans are being sent.

Requirements
To use Fieldwire Plan Sync, all of the following conditions must be met:
- The Receiver account must be on a Business or Business Plus subscription
- The user creating the automation must be invited to the Sender project (admin or follower)
- Only one plan automation can exist per project
- A project can be either a Sender or a Receiver, never both
- Sender and Receiver projects must be hosted in the same region (US ↔ US or EU ↔ EU)
- Archived projects cannot be used
- Plan collections must be enabled in the Receiver project
If plan collections are not already enabled, you will be prompted to enable them during setup. This is required to continue.
Additional important setup information:
- A Receiver project can connect to only one Sender project, but a Sender project may connect to multiple Receiver projects.
- If the user who created the automation loses access to the Sender project, the automation will stop.
- Plan collections are always enforced in the Receiver project.
- All imported plans live inside collections to keep externally synced plans clearly separated from plans you upload manually and to ensure consistent behavior with other integrations such as Google Drive and SharePoint.
- IMPORTANT: Imported collections use the same collection names as the Sender project and do not include the Sender project name.
How Fieldwire Plan Sync works
Fieldwire Plan Sync is a project‑level automation and does not require connecting accounts.
Sender project
- The project where plans originate
- Typically owned by a GC
- Contains uploaded, reviewed, and approved plans
Receiver project
- The project where plans are imported
- Typically owned by a subcontractor
- Receives automatic plan updates while remaining fully independent
Consent is implicit through project access. If you are invited to a project, you can select it as a Sender project. If you are later removed from the Sender project, the automation will stop automatically. Sync runs continuously, and updates generally appear within a few minutes of changes in the Sender project.
How plans are organized
All plans imported through Fieldwire Plan Sync are placed into plan collections in the Receiver project.
- Imported plans are separated from plans you upload manually
- Collection names match the Sender project’s collection names
- Sender project names are not included in collection titles
- Behavior is consistent with other plan integrations such as Google Drive and SharePoint
Set up Fieldwire Plan Sync
Plan Sync is created from the Receiver project.
- Open the Receiver project
- Go to Settings
- Select Manage automations
- Click + New automation
- Choose the app Fieldwire automations
- Select Pull plans from another project
- Click Create draft
If the automation option is unavailable, hover to see the message: “You can only have one plan automation per project.”
- If prompted, enable plan collections to continue
- Select the Sender project
- Projects are listed alphabetically
- The account owner is shown in parentheses
- Search is not case‑sensitive
- Choose what to sync
- Entire collections
- Specific folders within collections
- Select all to sync all existing and future folders
- Notes on folder selection:
- Unfiled plans are not shown unless Select all or the full collection is chosen
- If a collection has no folders, all future folders in that collection will sync automatically

- Click Connect
An initial sync runs immediately, followed by ongoing automatic updates.
What happens after setup
Once connected:
- The automation appears in Settings > Manage automations
- Status is shown as Connected
- Selected collections and folders are visible but cannot be edited
To change what is synced, the automation must be deleted and recreated.
When a Fieldwire‑to‑Fieldwire Plan Sync automation is created, all project admins on the Sender project receive an email notification. The automation can be blocked by removing the user from the Sender project.
What syncs automatically
The following updates in the Sender project are synced to the Receiver project:
- New plans uploaded
- New plan versions (replace existing versions)
- Conflict resolutions
- Plan renames
- Folder renames
- Collection renames
- Plans moved into synced folders
- Plans or folders deleted and later restored
- New folders and collections (if Select all was used)
What does not sync
The following actions do not affect the Receiver project:
- Updates made in the Receiver project are never sent back
- Deleting plans, folders, or versions in the Sender project does not delete them in the Receiver
- Reordering plan versions
- Plan markups and annotations
- Hyperlinks to files, submittals, or other objects
Notifications
- New plan versions may trigger email notifications
- Notifications depend on individual user notification settings

How frequent is the sync?
Updates typically sync within a few minutes.
Can multiple subcontractors connect to the same GC project?
Yes. Multiple Receiver projects can connect to the same Sender project.
How can a GC block plan imports from their project?
All project admins receive an email when the automation is created. Removing the user from the project will stop the automation.
Is this a two‑way sync?
No. Plan Sync is one‑way only.
Can I limit which plans are synced?
Yes. You can select specific collections or folders during setup.
Are collections mandatory?
Yes. Plan collections are always required.
Does the Sender need a Business plan?
No. Only the Receiver account requires a Business plan.
