Overview
This article will highlight each of the different buttons available on the Tasks tab and provide a brief description of what each button does.
There are a couple of options to create a new task. There are four views and one filtering option to organize how you view tasks. In addition to these options, you have the ability to sort your tasks, generate task reports, and import tasks to speed up the task creation process!
You can access the Tasks tab by selecting 'Tasks' in the upper half of the black bar on the left side of the screen on the web. Then, you can select 'My Tasks', 'All Tasks', and 'Watched Tasks'. Lastly, you can view tasks by which category you sorted them into when you select the individual category.
Note: When you create a new task from within a filtered view for one category, the same category will automatically be pre-selected for the newly created task. However, the category can still be changed.
If you create a new task from the view "My tasks", "Watched" or "All tasks", then no category is initially selected.
Note: Tasks are available to every Fieldwire user. However, there are certain features within the Tasks tab that can only be accessed by our Pro and Business subscribers. We will notate those features as such in the information provided below.
Table of Contents
- The Kanban Board
- The Calendar View
- The Gantt View
- The Analytics View
- Task View Features
- The Actions Tab
The Kanban Board
In the Kanban Board, Tasks are grouped by their status. The default Task status columns are Priority 1, 2, 3, Completed, and Verified. If you add start and end dates to your tasks, then additional columns will appear. Those columns are Overdue, Due Today, and In Progress.
Overdue: Tasks that are past their end date that have not been marked 'Complete' or 'Verified'.
Due Today: Tasks that have an end date of today that have not been marked as 'Complete' or 'Verified'.
In Progress: Tasks that have not been marked as 'Complete' or 'Verified', where today is in-between the Start and End dates.
Tip: The color of the task pins will turn red when the tasks are due today or overdue, however, this will not affect the priority of the task.
Note: If your project is on Pro or Business and does utilize Custom Task Statuses, the status names that you chose will appear on the kanban board. Check out our article on Custom Task Statuses for more information.
The Calendar View
To access the Calendar View, click the blue 'calendar' icon on the upper right. This view allows you to schedule your tasks in a clear way and easily drag and drop one or mutiple tasks to change start and end dates. For information on how to do so and about the Calendar view, check out this article: How do I use the Calendar view?
The Gantt View
To access the Gantt view, click the blue 'Gantt' icon on the upper right as shown in the screenshot above. Like the Calendar view, the Gantt view can be used for scheduling tasks and helping your team plan around deadlines.
To generate a PDF Gantt view report, click on the download arrow located at the top right hand side of the chart -
Please note: The Gantt chart only shows 200 tasks at a time, and also will only export the tasks that are visible (so a maximum of 200).
For more information about the Gantt view, check out this article: How do I use the Gantt view?
The Analytics View
To access the Analytics view, click the blue 'Analytics' icon on the upper right as shown in the screenshot above. Like the Kanbarn board, the Analytics view will show you how many tasks are assigned to each status as well as provide other insights. For more information about the Analytics view, check out this article: How do I use the task analytics view?
Task View Features
In addition to the different views, the Tasks tab offers users several other features. Certain actions on the Tasks tab can only be performed by project Admins. For more information about project permission levels, check out this article: Introduction to Project Permission Levels: Administrators, Members, and Followers
"+Import tasks" | To save you time, the Task importer allows you to create pre-filled tasks with just a few clicks. Additionally, if you're an Excel user, you can import tasks using a CSV template. For more information on the Task importer, take a look at this article: Introduction to the Task Importer |
"Generate reports" | Task reports are a great way to keep your team and your clients up-to-date on the progress of the project. To access Task reports, you do need to be either a Pro or Business plan subscriber. Task reports can have a lot of variation, so for more information, check out this article: Introduction to Task Reports in Fieldwire |
"Actions" | Admins can select task(s) and then Complete tasks, Verify tasks (or re-open them), Batch edit tasks, Duplicate tasks, Manage task tags, Add a checklist, Move multiple tasks onto a plan, or Delete multiple tasks |
Sort tasks | Sort tasks by a Plan, Assignee, Task #, Start and End Date, and Last modified |
Filter tasks | You can view only the tasks that fit the filtering criteria you select |
The Actions Dropdown
In order to "activate" the Actions dropdown menu, you must first select a task or tasks by clicking on the checkboxes shown in the screenshot above.
When more than one task is selected you have the options to Batch edit, add and remove tags, add a checklist template, and relate existing tasks.
You can also move tasks into a Completed or Verified status if the project does not leverage Custom Task Statuses. If the project does use Custom Task statuses, you can move a task into a 'Tracked' or 'Verified' status. Custom Task Statuses follow an ‘Open’ to ‘Tracked’ to ‘Verifiied’ workflow. Read more about creating custom task statuses in this article: Custom Task Statuses.
Note: If you delete a task from your project, you have the ability to restore that task from the Trash tab (Web) within 30 days of deleting it. (For more information about the Trash tab, check out this article: What is the Trash Tab?) If it has been more than 30 days and you have a premium Fieldwire account, you are able to use our built-in task importer feature to recreate any tasks that may have been deleted in error.
