Overview
The Account Owner and any Account Managers can manage their user count directly from the 'People' tab on the web version of Fieldwire. In addition, the Account Owner and any Account Managers can determine the level of access their users should have.
Since Fieldwire is priced on a per-user basis, the Account 'People' tab is the best means to determine exactly whose access you are paying for.
Furthermore, you can utilize the Project 'People' tab to view each user that is on your project. Here, you can view the company, phone number, project permission set, and whether the user is covered by your account or by their own. Managing Account and Project Users effectively is integral to ensuring maximum efficiency for your team.
- Subscriptions: Basic, Pro, Business, and Enterprise
- Permissions: The Account Owner and any Account Managers can add or remove users from the Account 'People' tab. Project Admins can add and remove users on the project level; both Members and Followers can view the Project 'People' tab.
- Platforms: Web
Note: Keep in mind that removing users from an individual project will not remove a user from the account. If you'd like to remove any users from the account entirely, they'd need to be removed from the Account 'People' tab.
Note: When you add a user to your account and/or projects and they do not have their own paid Fieldwire subscription, you will become financially responsible for them, regardless if they are a follower, member or admin.
Table of Contents
The Account 'People' tab
The Account 'People' tab is where the Account Owner and Account Managers can control the total number of users on their account, as well as invite users to multiple projects in bulk. (Because Fieldwire is priced on a per-user basis, it is sometimes necessary to review who is covered by your account).
How to invite users to your account
You'll want to invite a user to your account if they need to be involved with the billing frequency and subscription type for your account, project creation, and user management. (More information on Account Permissions can be found here: What is the difference between Account Managers, Account Users, and Project Users?)
Note: if users should only have access to a project, not the entire account, then skip to the "How to invite users to your projects" section below.
1. If you are the Account Owner, or are an Account Manager, log in (app.fieldwire.com) and head to the 'People' tab:
Note: You can view the number of users in each account role by selecting the 'All Users' drop-down.
2. Click '+New users', and 'Invite to account':
3. Add the email address(es) of the people you want to add as Account Managers or Account Users and click 'Send Invites':
4. From here, ensure that the recipients know that they need to open the email and click the invite link to establish access to your account. (For more specific guidance, they can review this article: I've been invited to a project, what do I do next?)
That's it!
Note: You can check the status of your invite by navigating to the People tab of your account. The clock symbol indicates that the user you invited has not yet created their account (or password).
If you see a "person" symbol next to the email address, this means that admin approval is needed for that user to gain access to the project.
Note: Users can send no more than 100 invitations per day. If you exceed this limit, you will not be able to send another invitation until 24 hours have elapsed since the 100th invitation:
When inviting users to your account, it is always good practice to be aware of how many users you currently have on your account and how many licenses you've purchased. This will help you in making sure you won't incur overage charges. For more information about overages, check out this article Fieldwire Pricing and Overages.
In addition, it is important for those accounts that can only invite a certain number of users to their account/projects. For users on those accounts, if you try to invite more users than you have been allotted, you will see the message in the screenshot below indicating that before you can invite any more users to your account, you need to remove some. To learn more about this type of account, please email support@fieldwire.com.
How to invite users to your projects
If you prefer your users to have access to some (or all) of the projects on your account, follow the steps below to invite them:
1. Log in (app.fieldwire.com) and head to the People tab:
2. Click '+New users' and 'Invite to a project':
3. Click on the box next to the Project(s), choose each project individually, or invite the user to all projects by clicking 'Select all':
4. Add the user or user's email address, and choose the pertinent project permission level:
For more details on how project permissions are defined, see this article: What is the difference between Project Administrators, Members, and Followers?
Note: if the user's project permission level should vary based on the project, you can customize this on each project's 'People' tab.
5. Once you have added the email and permission level, click "Invite users":
You can also invite one or more users to a project by selecting the checkbox to the left of their name, then 'Actions' and 'Invite to project':
Filter users
To filter users by their Account Permissions, choose the filter option in the top right corner, then select the relevant account role:
Export users
The 'Export users' feature is also available under the Account 'People' tab:
When you select this button, you'll be emailed a .CSV to the email address you use to log into Fieldwire. The .CSV displays who is in your account, their login email addresses, their role on the account, and their role in each project. For example:
Name | Account Role | Role in project | Role in project | |
John Smith | jsmith@eagle.com | account manager | admin | member |
How to remove a user from multiple projects
If you need to retain a user at the account level, but must remove them from multiple projects, you can do this in bulk:
1. The Account Owner or an Account Manager can log in on app.fieldwire.com and head to the People tab - select the number under the 'Projects' column, and choose to 'Remove user' from each project, or from all projects:
How to remove users from your account (and all projects)
When a user no longer needs access to your account or projects, you can remove them from both. Once removed, the user will no longer count towards your billing and total user count. To ensure you are only paying for those who are actively using the tool, it's imperative to remove your users when they no longer need access.
From the Account 'People' tab, select the checkboxes next to any users you wish to remove. Choose 'Actions', and then 'Remove':
Note: Removing a user from the account and/or projects does not delete the work that the user completed. You are also able to reassign their tasks to another user! Please see this article (Will removing a user from a project or account delete any of that users' data? How do I reassign their Tasks?) for more information.
Note: You will still see the name of the user in the 'People' tab, with their account role listed as "Removed", for up to 30 days afterwards.
The Project 'People' Tab
The Project 'People' tab differs from the Account 'People' tab; here, you can see who has access to the specific project, their permission level, and whether they are covered under your account or their own subscription. Open any Project in your Account and head to the People option in the left-hand menu to add, remove, and/or change permissions for your project users:
How to invite a user
Any Project Admin can invite users to the project. To do so, select the '+New users' option in the top left corner of the screen; from there, enter the emails of one or more users (separated by commas), determine the project access level, and choose 'Send Invites':
After the user receives an email, they will be prompted to accept the invite and set up the account if they do not have a pre-existing Fieldwire account (more info here: I've been invited to a project, what do I do next?) If the user already has a Fieldwire Account, then they will automatically see the project on their Project Dashboard.
Note: Users can send no more than 100 invitations per day. If you exceed this limit, you will not be able to send another invitation until 24 hours have elapsed since the 100th invitation.
How to remove a user
To remove a user, any project admin can select the three vertical dots on the right side of the screen and choose to 'Remove' the user:
Once a user is removed, they will immediately lose access to the project; however, any data they might have added (including plans, tasks, files, etc.) will remain in your project. If the user needs access again, they will have to be re-invited.
Note: The user will only lose access to the project, but not the account level. If you want to remove the user from your account and all projects, refer to the section "How to remove people from your account (and all projects)".
How to adjust user permissions
To adjust a user's permission level, select the relevant permission under the 'Access' column, and select a new permission set:
(For more information on what each permission level includes, please see this article: What is the difference between Project Administrators, Members, and Followers?).
Bulk Actions
There are several bulk actions that a Project Admin can perform on the 'People' tab, including batch-removal and adjusting user permissions en masse. Project Admins can also sort by different user profiles, including the user name, email, company, phone number and access level.
To batch-remove users, or adjust permissions en masse, select the checkbox to the left of the user names you'd like to adjust:
Note: You can also select the checkbox to the left of the 'Name' column to select all users.
Project Admins can also sort by several user parameters, including 'Name', 'Email', 'Company', 'Phone', and 'Access'. (The sorting logic is alphanumeric). To do this, select the relevant column:
To filter users by role, leverage the 'filter' option in the top left corner:
Note: the 'Invite pending' option allows you to see which users have yet to accept a project invitation (I've been invited to a project, what do I do next?).
How to see who is covered under your account
Finally, Project Admins can see who is (and isn't) covered under their account. This is indicated by the grey or green dollar signs to the right of the 'Access' column.
A grey dollar sign indicates that the user is covered under their own subscription, and the Project Owner is not financially responsible for their usage:
A green dollar sign indicates the user is covered under the Project Owner's subscription:
Note: Only Project Admins can see who is and is not covered under the Project Owner's account. If you are the 'Account Owner', you can see everyone who is covered under your Subscription from the Account 'People' tab; take a look at "How do I invite or remove a user to my Account or Projects?" for more information on this topic.
Invalid Email Addresses
A circled exclamation point next to a user's email address indicates that the address is invalid and emails will not be delivered to their inbox.
Confirm that the email address is spelled correctly and that there are no typos.
- If spelled incorrectly, remove the user and add re-invite with the correct email address.
- In addition, refer to this guide: How can I ensure my team is getting system emails (reports, task notifications, password resets, etc.)?
Please email support@fieldwire.com with the email address of the user; the team can check if the user has been unsubscribed or bounced in our system, so they can be resubscribed to receive emails again.
