This article provides an overview of Default Companies in Fieldwire and explains how Account Managers can standardize company information and user assignments across projects.
Overview
Default Companies allow Account Managers to create companies at the account level and assign account users to them. When those users are added to a new project via project templates, Fieldwire can create the relevant companies and place each user in their assigned company.
Why this matters: Default Companies reduce repetitive project setup and help keep company names, codes, addresses, and user assignments consistent across an account. This is especially useful for General Contractors and Project Admins who regularly work with the same subcontractors or project partners.

What You Can Do with Default Companies
- Set up default companies: Create a set of companies at the account level, complete with company name, code, and address.
- Assign users to a default company: Add account users to a default company so they are placed automatically when a new project is created via project templates.
- See default companies reflected in project templates: View and manage each user's assigned default company directly from the Users section of a project template.
Each section below provides a brief overview of the feature. Detailed workflows are covered in the linked articles.
Key Sections and Features
Default Companies tab
Where to find it: Open the account-level Templates tab, then select Default Companies.
What it does: The Default Companies tab is the central location for creating and managing company information and user assignments. Companies and users are listed alphabetically.
If no companies have been created, an empty state provides an option to create the first default company.

Company information
Where to find it: Select + New company from the Default Companies tab, or open the options menu next to an existing company.
What it does: Each default company contains the following information:
- Company name: A required, unique name for the company.
- Company code: A required, unique code of up to five characters that is used as shorthand for identifying the company.
- Address: Optional address information for the company.
Company names and codes cannot duplicate those of another default company.

User assignments
Where to find it: Expand a company table on the Default Companies tab.
What it does: Account administrators can add users to a company, move users between companies, or remove company assignments. Users can be managed individually or through batch actions.
- Add or move up to 100 users in one action.
- Search for users by name or email address.
- Select multiple users with the checkboxes in a company table.
- Use the Actions menu to move or remove selected users.
- Use a user's options menu to manage that individual user.
A user can be reassigned or added to another default company at any time. If a user is removed from the account, Fieldwire also removes the user from their default company.

Expand, collapse, and search
Where to find it: Use the controls above the company tables or beside an individual company name.
What it does: Company tables are collapsed by default to make large account lists easier to review. Account administrators can expand individual companies or use Expand all and Collapse all.
The search field checks user names and email addresses. When a user matches the search:
- Companies without matching users are hidden.
- Companies with matching users are expanded automatically.
- Users who do not match the search are hidden within the displayed companies.
If no users match, Fieldwire displays a no-results state with an option to clear the search.
Project templates
Where to find it: Open a project template and select its Users section.
What it does: The Default company column displays the account-level company assigned to each template user. The column can be sorted, and changes made on the Default Companies tab are automatically reflected in the template.
If a template user does not have a default company, select Set default company to open the Default Companies page in a new browser tab.
When a project is created from a project template, Fieldwire:
- Identifies the default companies assigned to the template's users.
- Creates the relevant companies in the new project.
- Places each user in their assigned company.

Blank projects
Where to find it: This behavior is applied when an account user with a default company creates a blank project.
What it does: Fieldwire automatically creates the project creator's default company in the new project and assigns the creator to that company.
This allows the project creator to begin with the correct company assignment without manually recreating the company.
Editing and deleting companies
Where to find it: Open the options menu next to a company on the Default Companies tab.
What it does: Select Edit company to update the company's name, code, or address. Updated names and codes must remain unique.
Select Delete to remove a default company. Deleting a company does not remove its users from the account. Instead, those users become unassigned and can be added to another default company.

Best Practices
- Use a consistent company naming convention across your account and projects.
- Choose short, recognizable company codes that clearly distinguish each company.
- Assign default companies before adding account users to project templates.
- Review unassigned users regularly so project templates and new projects receive the intended company assignments.
- Search by user name or email address when managing accounts with many users.
- Use batch actions for groups of up to 100 users instead of updating each user individually.
- Review existing project companies before importing account users, especially when company names or codes are similar.
Good to Know
- Default companies are listed alphabetically by company name.
- Users within each company are listed alphabetically by name.
- A user can belong to one default company at a time.
- Adding or moving users supports up to 100 users per action.
- The option to move users is unavailable when more than 100 users are selected.
- When a user is added to a company, that company's table expands automatically.
- Deleting a default company leaves its users unassigned.
- Removing a user from the account also removes the user from their default company.
- Default company updates are automatically reflected in project templates.
- Changes to a default company do not replace or update companies that were previously created in existing projects.
- Changes to a company within a project will not update default companies on the account level
